    What is the ADP Project?

    Pima County is moving to a fully automated and integrated Payroll, HR and Benefits system. The project started on August 1, 2013, the implementation will last 52 weeks.     Why do we need to change from the status quo?

    Pima County has been working toward eliminating the use of mainframe and COBOL based systems. The technology is outdated and no longer taught in universities or identified as a career path by technology employees. The Pima County mainframe payroll system was highly customized and prone to error when a change is made. The current payroll and HR systems are manual and paper based. Ultimately, not having information in a paper based, searchable format reduces Pima County's competitiveness in attracting and retaining highly qualified employees and impacts our ability to provide efficient services to Pima County residents.

    What did Pima County buy from ADP?

    Pima County purchased the following modules from ADP.
    (1) VirtualEdge (Recruitment and Selection system) – VirutalEdge is no longer being used and has been replaced with NeoGov.
    (2) EV5 (HR and Payroll system) – EV 5 (Enterprise Version 5) is the new integrated Payroll, HR and Benefits program. This will be the online location for official personnel files for employees. Payroll will be run and check stubs will be all online (no more paper check or paper advises).Testing on this system begins in April 2014.
    (3) Benefits – A newer version of our current ADP benefits system will be in place. Pima County currently uses a version of the on-line Benefits tool which may be found on the Pima County HR website: ADP / HR Benefits Solution https://home.eease.com/login/  
    (4) eTime (Time clocks, leave administration, and accruals) – This module replaces ETAF and paper TAFs, paper leave (vacation and sick) requests. Non-exempt employees will be required to clock in and out of work from their desk or a biometric time clock (fingerprint and code). Over 100 time clocks will be located around the County. (There will be training and instructions on the use of the system) Vacation requests can be submitted through the time system and the supervisor will be notified of the request. Requests can be approved electronically. Approvals are tracked in the system. Time sheets will be approved in the system by supervisors. Testing of this system begins April 1, 2014.
    (5) ESS & MSS (Employee Self Service and Manager Self Service) – Employees will be able to update information in the HR system directly using ESS. For example, emergency contact information, phone numbers, addresses. Policy acknowledgement will be through ESS. Managers will have the ability to modify certain information for their employees. Test case development is underway. Testing begins April 1. “Go live” will be end of July.

    Can I still use a paper application? Time sheet? Request for vacation?

    a.  Applications:  No, Pima County will not accept paper applications after the "go live" date.
    b. Time sheet:  No, after the "go live" date all time will be entered electronically.
    c. Request for vacation:  No, after the "go live" date all vacation requests will be made electronically.

    Will I still get a paper paycheck/paystub?

    No. All of the information you previously received on your paper pay stub will be available via ESS.

    How will I gain access to ADP/ESS?

    Pima County will have a portal on the web. You will need your EIN (without the "u") plus a password.

    Will I receive a pay card?

    If you are a Pima County employee using direct deposit, you will not receive a pay card. Those employees who do not use direct deposit will be issued a pay card instead of a paper check.  November 19, 2013 Payroll Paycards 

    I don't know how to use a computer. How will I get the information I need?

    Get familiar with computers, learn a new program, or enhance your skills through a variety of computer classes. The Pima County Library offers classes at local branches independently and in partnership with the OASIS Institute. All computer classes are free. Classes include: The Basics, Job Help, One-on-One Computer Help, Microsoft Office, Classes en Español.

    I don't have a computer at work or at home. How will I clock in?

    a. Clock in - Pima County has purchased a number of timeclocks which will require a "biometric" punch.

    Do I need an email address to apply for a job with Pima County?

    Yes. If you don't currently have an email address, you can create one through a website such as google.com or yahoo.com. There is no cost to set up an account and email address.
